Preparing a Competitive Tender Bid: A Practical Checklist
A strong tender bid is really two separate exercises done well: surviving the mandatory compliance phase, and then competing on price, technical merit, and preference points. Most guidance focuses only on the second half. This checklist covers both, in order.
Before you start preparing anything
Confirm your CSD registration and Tax Compliance Status PIN are valid today
Confirm your B-BBEE certificate or affidavit is within its validity period
Confirm your CIDB grade/class (if applicable) meets the stated minimum
Confirm you can attend any compulsory briefing session
Confirm the bid validity period the tender requires and that you can commit to it
Completing the mandatory forms
Complete every SBD/MBD form fully — an unanswered field is treated as a failure to respond, not as "not applicable." Where a field genuinely doesn't apply to you, write "N/A" explicitly rather than leaving it blank.
Competing on merit
Once the mandatory phase is secured, focus your effort on the technical/functionality response (where one exists) and an accurate, fully-costed price schedule. Claim every specific-goals preference point you're entitled to on the SBD 6.1 / MBD 6.1 form — these points are frequently left unclaimed simply because the bidder didn't realise they qualified.
Before you submit
Re-check every document's validity date against the closing date, not today's date
Confirm the submission method (physical box, email, electronic portal) and address exactly as specified
Submit with time to spare — a late bid is disqualified regardless of quality
